Business Email Comparison

Microsoft 365 Business vs POP/IMAP: Which Is Better for Business Email?

Microsoft 365 Business provides much more than a traditional POP or IMAP mailbox. It combines professional Exchange Online email with business identity, modern authentication, administration and collaboration capabilities.

If you originally knew the platform as Office 365, Microsoft’s business productivity services are now part of the Microsoft 365 family of products. This page updates our original Office 365 vs POP/IMAP comparison for today’s business environment.

POP and IMAP still have legitimate uses as email protocols, but they should not be confused with a complete business email, identity and security platform.

For businesses that depend on email every day, the difference becomes particularly important when considering multiple users, shared mailboxes, secure authentication, staff changes, collaboration and ongoing administration.

What happened to Office 365?

If you found this page while searching for Office 365 vs POP/IMAP, you are in the right place.

Microsoft has changed its product branding over time, and many business subscriptions that people historically referred to as Office 365 are now marketed under the Microsoft 365 name.

PCFIXIT’s focus for business customers is Microsoft 365 Business rather than Microsoft’s Personal or Family consumer subscriptions.

The important comparison remains the same: should a business rely on traditional POP/IMAP email hosting, or use a broader business platform built around Exchange Online and Microsoft 365 Business?

Traditional Email

What are POP and IMAP?

POP and IMAP are protocols used by email applications to access messages stored on a mail server. They are not complete business productivity or identity-security platforms.

That distinction matters. The security of a POP or IMAP mailbox depends heavily on the email provider, authentication methods, server configuration and surrounding security controls.

POP

Post Office Protocol

POP was designed around downloading email from a server to an email client. Historically, this worked well when users generally accessed email from a single computer.

That model is much less suited to a modern business where employees expect consistent access across desktops, laptops, phones and other supported devices.

Primarily designed for retrieving email
Limited synchronisation compared with modern platforms
No native calendar synchronisation
No native contact synchronisation
No inherent modern identity platform
No inherent phishing-protection capability
IMAP

Internet Message Access Protocol

IMAP improves on POP for multi-device use because mailbox content remains on the server and is synchronised between supported email clients.

IMAP is therefore generally more practical than POP for accessing the same mailbox from several devices, but IMAP itself is still fundamentally an email-access protocol.

Better mailbox synchronisation than POP
Primarily focused on email
Calendar functionality requires separate services
Contact functionality requires separate services
No inherent identity-security platform
Security capabilities depend on the provider
Important Security Distinction

POP and IMAP are not security platforms.

Simply supporting POP or IMAP does not automatically make an email service secure or insecure. Security depends on factors including encryption, authentication, the hosting provider, configuration and the controls surrounding the mailbox.

The business limitation is that POP and IMAP themselves do not provide the broader identity, authentication, access-management, administration and security capabilities available through a properly configured Microsoft 365 Business environment.

Microsoft 365 Business

Why choose Microsoft 365 Business over POP/IMAP?

Microsoft 365 Business is designed around the needs of organisations, not simply the retrieval of email messages.

Exchange Online provides cloud-hosted business email while the broader Microsoft 365 platform can provide identity, authentication, administration, collaboration and additional security capabilities depending on the subscription and configuration.

01

Exchange Online Business Email

Synchronise business email, calendars and contacts across supported devices through Microsoft’s cloud email platform.

02

Microsoft Authenticator

PCFIXIT uses Microsoft Authenticator as part of its standard Microsoft 365 Business authentication approach.

03

Passkeys

Passkeys can provide phishing-resistant authentication and reduce reliance on reusable passwords where supported and appropriately configured.

04

Shared Mailboxes

Addresses such as accounts@, sales@ and support@ can be provided to authorised users without requiring staff to share a common mailbox password.

05

Central Administration

Centrally manage users, mailboxes, permissions, licences and supported access settings.

06

Business Collaboration

Depending on licensing, Microsoft 365 Business can integrate email with productivity, meetings, file sharing and collaboration services.

Side-by-Side Comparison

Microsoft 365 Business vs POP vs IMAP

Business Email Security

Business email security starts with identity.

Email accounts are a valuable target for phishing, credential theft, impersonation and account takeover. Protecting business email therefore requires more than simply securing the connection between an email application and a mail server.

A properly configured Microsoft 365 Business environment can provide a broader identity and authentication foundation for protecting business accounts.

01

Microsoft Authenticator

Strengthens authentication beyond relying solely on a username and password.

02

Passkeys

Phishing-resistant authentication can be used where supported and appropriate.

03

Identity Controls

Additional identity and access controls are available depending on licensing and configuration.

04

Email Protection

Microsoft 365 Business security capabilities can help identify and reduce unwanted or malicious email depending on licensing and configuration.

05

Central Management

Users, permissions, licences and supported security settings can be centrally administered.

06

User Lifecycle

Business accounts can be managed as employees join, change roles or leave the organisation.

Starting a New Business?

Choose the right business email platform from day one.

A basic mailbox may look sufficient when a new business has only one or two people. But email requirements can change quickly as staff, customers and business systems are added.

Starting with Microsoft 365 Business can establish a professional email, identity and administration foundation without needing to rebuild the environment once the organisation grows.

01

Professional Business Email

Use your own business domain with professional email addresses for your team.

02

Secure From the Beginning

Establish Microsoft Authenticator and supported passkey authentication instead of adding security after the business has already become dependent on email.

03

Ready for New Employees

Add users, mailboxes, licences and permissions as your organisation expands.

04

Shared Business Addresses

Build accounts@, sales@, support@ and other shared workflows into the environment from the beginning.

05

Central Administration

Maintain better control over business accounts instead of creating disconnected mailboxes as the company grows.

06

Room to Grow

Expand Microsoft 365 Business licensing and capabilities as operational and security requirements evolve.

Already Using POP or IMAP?

Move your business email to Microsoft 365 Business.

If your organisation currently uses traditional POP or IMAP hosting, PCFIXIT can assess the existing environment and help determine an appropriate migration path to Microsoft 365 Business.

A migration may involve existing email, domains, DNS, users, devices, contacts, calendars and other configuration depending on your current environment.

01

Assess

Review your current hosting, users, mailboxes, domains, devices and business requirements.

02

Plan

Determine suitable Microsoft 365 Business licensing, mailbox structure and migration requirements.

03

Migrate

Coordinate supported mailbox, domain, DNS and device changes as part of the migration.

04

Secure & Manage

Configure authentication, verify the environment and establish appropriate ongoing management.

Important: Microsoft 365 Backup

Microsoft 365 Business should not automatically be treated as an independent backup solution.

Microsoft provides service resilience plus various retention and recovery capabilities depending on the service, licensing and configuration.

Those capabilities are not necessarily the same as having an independent backup designed around your organisation’s recovery and business-continuity requirements.

Businesses should separately assess backup requirements for Exchange Online email, OneDrive, SharePoint and other important Microsoft 365 Business data.

Is It Right for Your Business?

Who should consider Microsoft 365 Business?

Microsoft 365 Business is particularly relevant where email is an important part of day-to-day business operations.

01

New Businesses

Start with professional email and a platform that can grow as employees and requirements are added.

02

Growing Businesses

Centrally manage increasing numbers of users, mailboxes, permissions and business services.

03

POP / IMAP Users

Move beyond basic email hosting when the limitations of traditional mailboxes begin affecting operations.

04

Multi-Device Teams

Keep supported email, calendars and contacts synchronised across business devices.

05

Security-Conscious Businesses

Establish stronger authentication and identity controls appropriate to the organisation’s requirements.

06

Businesses Needing IT Support

Combine Microsoft 365 Business with professional administration, support and broader business IT management.

Frequently Asked Questions

Microsoft 365 Business vs POP/IMAP FAQs

Is Office 365 now called Microsoft 365?

Microsoft has changed the branding of a number of its productivity subscriptions over time. Many services that businesses historically referred to as Office 365 are now marketed within the Microsoft 365 product family. PCFIXIT focuses on Microsoft 365 Business solutions for organisations.

Is Microsoft 365 Business better than POP or IMAP?

They are different types of technology. POP and IMAP are protocols for accessing email. Microsoft 365 Business can provide Exchange Online business email together with identity, authentication, administration and collaboration capabilities. For organisations requiring more than a basic mailbox, Microsoft 365 Business generally provides a much broader platform.

Is POP email secure?

POP itself should not be treated as a security platform. The security of a POP-based email service depends on the provider, encryption, authentication and configuration. Legacy or poorly configured implementations may introduce additional risk.

Is IMAP email secure?

IMAP can use encrypted connections and can form part of a securely configured email service. However, IMAP itself does not provide the broader identity, authentication, access-management and security capabilities available through Microsoft 365 Business.

Why use Exchange Online instead of IMAP?

Exchange Online provides integrated business email, calendars, contacts, shared mailboxes and administration. IMAP primarily provides access to mailbox content and does not by itself provide those broader business capabilities.

Does Microsoft 365 Business support Microsoft Authenticator?

Yes. PCFIXIT uses Microsoft Authenticator as part of its standard Microsoft 365 Business authentication approach, subject to the customer’s environment and configuration.

Does Microsoft 365 Business support passkeys?

Microsoft provides modern passwordless and phishing-resistant authentication capabilities. PCFIXIT uses passkeys where supported and appropriate for the customer’s environment.

Can Microsoft 365 Business use shared mailboxes?

Yes. Exchange Online supports shared mailboxes, allowing authorised users to work with addresses such as accounts@, sales@ or support@ without sharing a common mailbox password. Licensing and configuration requirements should be assessed for the particular environment.

Can PCFIXIT migrate POP or IMAP email to Microsoft 365 Business?

Yes. PCFIXIT can assess suitable POP and IMAP environments and help plan a migration to Microsoft 365 Business. Migration requirements vary depending on the existing hosting platform, mailbox data, domains, DNS, devices and other factors.

Does Microsoft 365 Business include backup?

Microsoft provides service resilience and various retention and recovery capabilities, but organisations should separately assess whether independent Microsoft 365 backup is required to meet their business-continuity and recovery objectives.

Is Microsoft 365 Business suitable for a new business?

Yes, depending on the organisation’s requirements. Establishing professional email, user identities, secure authentication and central administration from the beginning can make it easier to add employees and services as the business grows.
