Switch IT providers with a clear handover plan

Changing your IT provider should start with a practical review of access, services and responsibilities. PCFIXIT helps Gold Coast businesses plan the transition.

Whether support has become too reactive or your business has outgrown its current arrangement, we work through what needs to move, what can stay and which changes should happen first.

Before you give notice

Understand what your current provider controls

A provider change can involve more than computers. Record the systems your business relies on and identify the owners of each account.

  • Microsoft 365 tenant, subscriptions and administrative access.
  • Domains, DNS, website hosting and business email.
  • Firewalls, Wi-Fi, switches and internet services.
  • Backups, endpoint protection and remote management tools.
  • Phone systems, business applications and vendor contacts.
  • Notice periods, renewals, equipment ownership and existing support obligations.
Our transition process

A staged move with checks along the way

1. Review and scope

Discuss your concerns, users and key systems. Identify access gaps, dependencies and the proposed service scope.

2. Coordinate the handover

With your authorisation, agree the information and access required from the outgoing provider and schedule changes in a sensible order.

3. Verify and support

Check the agreed services, confirm how staff request help and remove superseded access or tools once replacement arrangements are ready.

Avoid surprises

Agree the commercial and technical boundaries

A new support agreement does not automatically cancel an existing contract or transfer every subscription. We identify which services can move, which may need to remain until renewal and which changes need a separate project.

Your business should retain access to its own domains and core cloud services. Administrative credentials and sensitive documentation should be exchanged through an agreed secure method.

We cannot promise a disruption-free transition before reviewing the environment. Any expected interruption, dependency or unresolved access issue should be included in the plan.

Your questions

Frequently asked questions

Do we need to change all our systems?

No. A provider transition can retain suitable existing systems. Changes should follow an assessment of supportability, security and your business requirements.

Can you speak with our current provider?

Yes, with your authorisation. We can coordinate the technical handover and clarify the access, documentation and service information needed.

How long does switching take?

It depends on the size of the environment, access available, contractual dates and any migration work. We agree a schedule after discovery.

Should we cancel our old support first?

Plan the transition before cancelling critical services. Confirm replacement access, support and backup arrangements, and check your existing notice obligations.

Before you sign off

IT provider handover acceptance checklist

Use a written checklist with an owner and completion evidence for each item. Record anything outstanding before the outgoing provider’s access or services are removed.

  1. Business ownership: confirm authorised access to your domain registrar, DNS, Microsoft 365 tenant and other core services.
  2. Service inventory: list subscriptions, renewal dates, supported devices, key applications and vendor contacts.
  3. Recovery: confirm backup coverage, retention, access to historical backups and the agreed method for checking restores.
  4. Security handover: agree when replacement controls become active and when superseded agents or administrator accounts can be removed.
  5. Business checks: test email, sign-in, critical applications, printing, connectivity and phone services where they are in scope.
  6. Staff readiness: communicate the new support contact, request process and escalation arrangements.
  7. Close-out: record unresolved risks, responsibilities and any services that must remain with the previous provider until a later date.

What should you prepare for the first call?

An approximate staff and device count, your locations, the main support problems and known renewal dates are enough to begin. Share sensitive credentials only through an agreed secure channel after authorisation.
